The challenge

Where they started.

A founder's time is the scarcest resource in the business, and most of it leaks through administrative gaps: meetings booked late, documents not ready, follow ups forgotten, notes never written up, action items lost the moment the call ends. The brief was to build a single assistant that closes all of those gaps at once. Not a note taker, not a calendar bot, but one connected system that manages the whole cycle around meetings and communication so the founder walks into every conversation prepared and never has to chase the loose ends themselves.

Our approach

What we did.

The design treats a meeting as a lifecycle, not an event, and automates every stage of it. Before the meeting, the assistant owns scheduling and makes sure the required documents are in hand. During the meeting, it captures everything. After the meeting, it does the work a great chief of staff would do: file the record, read it back for anything that implies a next step, and act on it. The unlock is that these stages are wired to each other. The transcript is not just stored, it is read: the system scans it for any mention of a follow up meeting and comes back to the founder to book it, so the output of one meeting automatically becomes the input to the next.

The assistant handles calendar management and meeting booking, and monitors the inbox to surface what matters. A meeting capture layer records each meeting and produces a transcript and summary, which is then sent back into a central database rather than left sitting in a separate tool. Once filed, the transcript is scanned for follow up meeting mentions, and when one is detected the assistant proposes the booking back to the founder for a one tap confirmation. In parallel, it tracks the documents required for upcoming meetings and chases the outstanding ones ahead of time, so nothing is missing when the meeting starts.

The pieces are stitched together through an orchestration layer: the capture tool pushes finished summaries via webhook, the orchestration engine files the transcript, runs the follow up scan, and routes booking requests and document chases back to the founder through the assistant. The whole thing behaves as one connected chief of staff rather than a drawer of disconnected apps.

What changed.

The founder gained an assistant that runs the entire meeting and communication cycle: it books and manages the diary, keeps the inbox under control, captures every meeting, files the record automatically, turns spoken follow ups into booked meetings without being asked, and makes sure every document is ready before the founder needs it. The result is that the administrative overhead of a founder's week, the part that normally eats hours and still drops balls, is handled end to end by one system.
